Safety, Execution, & Incident Management

Safety & Risk Management Guidelines

  • Contractors must have proper insurance coverage, including snow-specific requirements such as snow riders (i.e., CG 2292) and umbrella policies.
  • Use a documented site engineering plan to verify where to properly locate snow to prevent thaw and refreeze hazards and line-of-sight issues.
  • Parking lots and sidewalk clearing methods and policies must adhere to ADA compliance guidelines, including ADA Title III-28 CFR Part 36.304 (Priorities for Accessibility) and 28 CFR 35.133 & 28 CFR 36.211 (Maintenance of Accessible Features).

Incident Reporting Protocol

When an incident occurs (Motor vehicle/Equipment accident, injury, property theft, property damage, or near miss), an incident report must be completed immediately.

  • Notification: The Safety Manager MUST be notified of all accidents, injuries, and property damage the same day. Damages over $500, equipment theft, or injuries requiring emergency treatment must be reported to the President the same day.
  • Report Details: The team member involved must document the date, time, location, equipment involved, and extent of injuries/damage. The report must detail how it occurred, immediate actions taken, root causes, and witnesses.
  • Supervisor Follow-up: Supervisors must document immediate actions taken, contributing factors, and steps taken to prevent the incident from happening again. Supervisors must also verify if the customer was notified of property damage and if the equipment manager was notified.
  • Documentation: Photos and police reports should be attached if applicable. The report must be signed by the employee, supervisor/investigator, and distributed to the Account Manager, Safety Manager, President, HR, and Employee file.
